Administrative Assistant (Examination)
Sarawak - Miri


Responsibilities: 


Main Responsibilities

  • Provide advice on examination matters in accordance with University policy, procedures and statutes.
  • Handling queries from internal and external customers (e.g. students, parents & staffs) regarding examinations matters.
  • Handle printing of transcript and certificates, request of reprint and collection of the certificates/transcript.
  • Assist the officer in updating results database (exams status, change of results and ratification of results and academic status), key in results and preparation of result sheets.
  • Maintain important information in relation to examination preparation, clash exams record, deferred application record, supervisor attendance logbook, exams scripts collection logbook, transcript/academic transcript/certificate collection logbook.
  • Prepare critical reports as required by Supervisor, e.g. Students at risk, Terminated students, Supplementary/Deferred, and graduating students.
  • Assist the officer in all preparations for examinations.
  • Assist in preparation of the invigilation roster and examination material including attendance name list and venue name list.
  • Work extended hours including weekends during the examination period, providing advice and support to students, staff and examination supervisors during this critical period.
  • Making room bookings for final and clash examinations.
  • Administer the distribution of exam papers and materials before and after the examinations.
  • Assist in supervision of internal examinations.

Requirements:
Essential
  • Minimum STPM/Diploma
  • Working knowledge of Microsoft Office (i.e. Word, Excel, Powerpoint etc)
  • Demonstrated database management skills and the ability to accurately process high volumes of data
  • Able to work independently with minimum supervision within a team environment
  • Demonstrated time management  including the ability to meet deadlines and willingness to work extra hours
  • Good communication skills and good command of both spoken and written English.
Desirable
  • Working experience in a similar capacity or in an education industry.
